Custom Automations and Integrations for Non-Profit Systems
Spend your organization's time on what really matters.
If you want to get your systems to talk to each other, get your database to work the way you want it to, or streamline a time-intensive process that's taking your organization away from time with donors or program participants, I can help with with that.
This is a done-for-you service where you describe exactly what you want and answer a lot of questions, and then I build a system that works with your existing software and requires less work from your staff, not more.
With a custom, done-for-you automation or integration, you get...
- One or more of your systems working the way you want them to.
- A detailed hand-off document describing exactly how to maintain your new automation in the long-term.
- 12 months of free support to answer all your questions.
- A 12 month warranty to resolve any issues that crop up after we're done.
"[Alex] made the process incredibly easy. Whenever there was something I needed to do, he provided clear, step-by-step instructions—including things like how to access nonprofit discounts—so I never had to spend hours figuring it out on my own.
"He was consistently responsive, easy to work with, and genuinely collaborative. As we started using the automation, we discovered a few unusual edge cases. Rather than treating those as new projects, he incorporated the necessary adjustments into the original scope and made sure the system worked reliably in both typical and less common situations." - Christine
This is for you if...
- ...you work with a non-profit or mission-driven organization in an operations, finance, or admin role.
- ...you have a specific manual process in mind that, on average, takes up at least 1 hour a week of your organization's time.
- ...you expect to still be using the systems involved in the manual process for at least the next 2 years.
- ...you want to invest in making your organization's admin work easier and less time-consuming so you can build a more sustainable mission.
- ...you like answering questions (I ask a lot of questions).
Examples of manual processes
Here are some examples of manual processes other organizations have automated:
- Syncing donations or contacts between different systems.
- Splitting payroll up between different grants in your accounting software.
- Renaming hundreds of files.
- Preparing lists of donors to send personalized "thank you"s to.
- Generating grant reports or program impact reports.
- Coordinating volunteer assignments.
If any of these processes (or ones like them) are sucking up your time, a custom automation or integration will streamline them so you can spend time with donors and program participants and not as much time doing admin or holding all your systems together by hand.
What you get
You will always leave with the following:
- One or more of your systems working exactly the way you want them to.
- A detailed hand-off document describing exactly how to maintain your new automation in the long-term.
- 12 months of free support to answer all your questions.
- A 12 month warranty to resolve any issues that crop up after we're done.
- Recordings of all our meetings so you can refer back to any details you want later. NOTE: I do not use AI transcription or note-taking, but you're welcome to bring your own AI note-taker if you want.
What it costs
- Usually between $1,000 and $10,000. I'll tell you the exact cost during our process workshop.
- 5-10 hours of your time over the course of the project. Usually spent on a combination of: meetings, answering my questions, granting me access to your systems, and getting resources together that I need.
What we'll actually do
A rough timeline of how most custom projects go:
- Account Setup (1 month). This will be done entirely by email. I'll send you detailed instructions about how to create and grant me access to the accounts I'll need to do my work, in a way where your organization will have complete control over them after we're done. Here, I'll make sure we have everything we need to get started.
- Kick-Off Meeting (1 hour). After the account setup is done and I've looked over everything I have access to, then we'll schedule a kick-off meeting. (I know, already part-way into the project!) We'll go over the exact details of what you want built, what systems you want it to touch (looking at the actual systems you have already), and what specifically you want your custom automation or integration to do.
- The Build (1-3 months). Next, I'll build whatever it is we agree on that I should build. This could take anywhere from a few weeks to a few months, and I always like to leave buffer time so that the project doesn't go longer than expected. I'll communicate throughout the process and let you know what else I need from you to move forward (usually no more than 5 hours of your time).
- The Hand-Off Meeting (1 hour). Once the new automation is built, we'll schedule a hand-off meeting to walk through your new automation. Before our meeting, I'll send a detailed hand-off document that describes anything you need to do or keep track of to keep your new automation running. We'll talk through all your questions and add any answers I missed to the hand-off document for your future reference.
- Support Period (12 months). After the hand-off meeting, we'll have 12 months to sort out any unexpected issues that pop up. During this time, I answer any question you have and document the answers for your future self, and any issues that come up within the scope of the project will be fixed for free. If you want, the support period can be extended for a custom amount (price depends on the scope of the project and the level of support needed).
Not sure?
If you have some questions on your mind before we start, shoot me an email or schedule a free automation possibility call and I'll make sure all your questions get answered there.
Ready to start?
Every custom automation or integration project starts with a paid process workshop. If you want to work with me, we always start there.
The workshop fee ($200) can be applied as a discount to your full automation project, so, if you move forward with the full project, the process workshop is basically free.
